COVID-19 Provider Operations Manual is Live! 


No more searching for job aids across EZIZ! The new COVID-19 Provider Operations Manual provides a one-stop shop to answers for all things COVID. Guidance includes:

  • Ordering Vaccines: Standard orders and kits, small orders, marketplace, courier service, when to expect vaccines
  • Receiving Vaccines: Fact sheets for each product, receiving, reporting shipment incidents
  • Recurring Tasks & Reporting: Cheat sheet of key tasks and frequency for Location Coordinators
  • Managing Vaccine Inventory: Monitoring temperatures, expiration and beyond-use dates, wastage guidance, reporting inventory to VaccineFinder, transporting vaccines, nonviable doses, redistribution & transfers
  • Patient Visits: Administration requirements, best practices for vaccine preparation, responding to administration errors, billing, hosting off-site clinics
  • Infrequent Tasks: Adding a new vaccine, changing staff/contacts, setting up new storage equipment
  • Addendum: Important contacts, inventory of key job aids

Expiring Vaccines

  • Pfizer: Most Pfizer pediatric (5-11 years, orange cap) will be expiring at the end of September. To check expiration dates, please visit Pfizer Expiration Date Lookup. 
  • Janssen: Many lots have expired, but there are 3 lots that are not expiring until February, 2023. To check expiration dates, please visit Janssen (J&J) Expiration Date Lookup.
  • To check other COVID-19 vaccine expiration dates, please visit Moderna Expiration Date Lookup and Novavax Expiration Date Lookup.

Reminder: Product Training for Infant/Toddler Vaccines

CDPH’s Required Training page will be updated to link to CDC’s product summary sheets as soon as they are available. In the meantime, anyone receiving these vaccine shipments should study the EUA Fact Sheets for any product they will be administering:

  • Pfizer 6 months- 4 years (maroon cap)
  • Moderna 6 months - 5 years (dark blue cap)

 

Reminder: Adding New Vaccine Products to VaccineFinder 


Before receiving any new vaccine products, add vaccines/NDCs using the COVID Locating Health portal so you can report the inventory to VaccineFinder. Sites can add vaccines across multiple locations in a single flow. Refer to Reporting Inventory to VaccineFinder for details. (Pharmacies reporting via SFTP can add new NDCs to their file.)


Report New Product Inventory Upon Receipt

Report new vaccine inventory as soon as it’s received, then at least weekly on Fridays by close of business. (Weekly reporting is not required when inventory is depleted and zeroed out in VaccineFinder.)  Thank you for your continued efforts to help track inventory throughout California!


Public Display on Vaccines.gov

Locations are welcome to turn on public display once you start administering the new vaccines. This allows the public to search for your location on Vaccines.gov to determine which vaccines you stock and how they can make an appointment. Use these instructions to enter location information manually or use file upload.
